Kalamazoo Band Booster Meeting Minutes:
August 13th, 2019

I. CALL TO ORDER
This meeting was called to order by Kristen Rice at 7:00 pm. The motion was seconded.

Uniforms
Managing uniforms – at the end of each year uniforms are sent to the dry cleaner, they are returned and students are fitted for size during band camp, alterations are made as needed
Volunteering – help is needed when uniforms are returned from the cleaners and with making alterations at the beginning of each season, if you have the ability to sew please contact Wendy
Apparel

Spirit wear – available online through school store
School store – opens tonight, closes 9/25
Additional show shirts – order forms available from Rebecca
Band Camp
Risk for dehydration – remind students to drink plenty of water, do not drink soda
Snacks and water – we ask that each student bring snacks for 30 people and two cases of water, water will be used throughout the season
Rest – this is hard work, encourage kids to rest or take a nap during the break between practice sessions
Pop can drive

Funds raised - approximately $1,000 each year
Use of funds – band Olympics
To donate cash or bottle slips – mark envelope with section’s name and place in locked mailbox
To donate cans – mark bag with section’s name

Encourage your student to stick with it during their sophomore and junior year, there will be time to take other electives during their senior year
Chaperones
Parent chaperones travel on the bus with students to and from competitions
Background check through the school is required
Responsibilities
Checking that students are wearing black dress socks and marching shoes when boarding the bus
Completing student counts when leaving and returning to the school
Making sure students ride the same bus to and from competitions, they are not allowed to switch buses
Monitoring language and public displays of affection

District truck is usually provided, this year it was unavailable
Rockford Performance
Needs – pit crew, chaperones, water (carried on the bus)
Weather/Rain Gear – will make call day of
After performance – band will stay together, either returning to bus/trailer to change or go directly to stands as a group, students will not be able to meet parents in the stands

Scheduled for 9/27, need volunteers
Great fundraising opportunity for the band, additional person needed for the upcoming year
Requirements for Competitions
Show shirt, black socks, marching shoes – to get on bus
At competition – no make-up, no jewelry, nail polish removed, hair up, shorts under uniform
Donations of hair ties, bobby pins are always appreciated
Background Checks
Not a district requirement, but a requirement by the band
May not be completed before the end of the season

Fundraising for upcoming expenses, PA system (est. $2200), equipment repair/replacement

There is an additional instrument fee for percussion, large brass instruments and color guard of $50.
Sibling fee - First child pays full participation fee; additional sibling pays $80. Sibling will pay for shoes, gloves, and Show Shirt.
Hole fillers will pay for shoes, gloves, and Show Shirts totaling $50. They do not pay participation fees.
If you feel you need assistance to cover these fees, payment plans are available. Melissa Wilson (Band Booster Treasurer) must be contacted before registration night to set up payment plans. She will be the only one to have access to this information. Payment plans will be based on the $160 participation fee rate if you have contacted Melissa by the dates listed above. All payment plans will be based on having the fees paid in full by December 1st.
